Everything in VidSearch

A complete look at what the platform does — from getting recordings in to finding the exact moment and sharing it with the right people.

Transcription and ingestion

Get recordings in — from your hard drive, from a link, or with a transcript you already have.

Bulk file upload

Upload multiple video and audio files at once. Each file shows its own progress bar, uploads run concurrently, and a pre-flight check on trial accounts flags files that would exceed your allowance before anything starts — no surprises mid-upload.

YouTube and Vimeo

Add externally hosted recordings by URL — no download needed. Combine with an uploaded transcript to skip transcription entirely.

Language selection

11 languages, auto-detect, or detect from filename markers you configure. Override per file at upload, or force a specific language when retranscribing.

Speaker diarization

Automatic speaker detection labels each turn in the transcript. Rename labels to real names — speakers carry through to search and export.

Transcription settings

Six settings per collection: language, silence sensitivity, diarization, chunk size, batch size, and a freeform prompt. Five built-in templates for common domains.

Bring your own transcript

Attach an SRT or JSON file at upload and transcription is skipped entirely — your transcript is imported and indexed directly. The same format works for replacing a transcript on an existing recording after the fact. JSON supports speaker labels when diarization is enabled on the collection.

Manage media sources

Replace an uploaded file with a new version, or switch a recording between an upload and a YouTube or Vimeo link — while choosing whether to keep the existing transcript or reprocess from scratch. Failed and cancelled uploads can be restored to ready status when the source file and transcript are still intact, with no reprocessing required.

Transcript editing

Correct, restructure, and annotate every segment — with a full history of who did what.

Edit, split, and merge

Click any segment to correct its text — changes are re-embedded immediately and show up in search within seconds. Split a segment at any character position or at the current playback time, with a live preview before you commit. Merge adjacent segments into a single block. All operations are tracked and fully reversible.

  • Edit speaker labels and timestamps
  • Transcript synced to video playhead
  • Split at playback position with live preview
  • Stamp segment times from the playback position
  • Add, delete, and merge segments
  • Assign languages to individual segments

Edit history

Every change is recorded: who edited, when, and from which value. Full provenance per segment, accessible from the segment panel.

Context-aware revert

Revert a split and the second half disappears; revert a merge and it reappears; revert a text edit and the original generated text is restored. Every revert is itself reversible.

Segment looping and skip controls

Pin any segment into a playback loop while editing. The backward and forward skip buttons use a custom interval so reviews move at your pace.

Speaker management

Rename any speaker label globally or per segment. Speaker changes propagate through all search modes and every export format automatically.

Per-segment language

Assign a language to individual segments in multilingual recordings that used automatic detection — useful when a single file switches between languages.

Quality workflows

A structured process for improving accuracy — from suggestion to correction to verification.

1

Suggest

Viewers without edit access propose replacement text for any segment — one pending suggestion per user per segment. Submitting a new one replaces the previous.

2

Correct or deny

Editors apply or deny with one click. Denials include an optional reason note, sent to the suggester as a real-time notification.

3

Verify

Mark a segment as verified — it records who verified it and when. Verification progress shows as a percentage in both the workspace and on public share pages. Verification clears automatically if the segment text is later changed.

Domain glossary

Teach VidSearch your organization's vocabulary — preferred terms, known misrecognitions, and technical jargon. Define terms at org, collection, or file scope, then scan and apply corrections on demand or in bulk.

Glossary hints

When you manually fix a segment whose original text matches a known misrecognition, VidSearch suggests adding it to the glossary — so future transcripts benefit automatically.

Advanced terms

Simple replacement or custom regex. Add aliases, assign a category, scope to a language, and drag to set scan priority.

Bulk import

Upload a CSV or TBX file to import up to 500 terms at once. Field-mapping guidance, parse warnings, and an import summary confirm what was added. A CSV template is available to download.

Re-processing tools

Fix quality issues on already-processed media without starting over. Run speaker diarization, semantic embedding, or both on a single file — or re-embed every ready file in a collection at once.

Re-diarization

Rerun speaker detection on a single recording without retranscribing. Useful when a file was processed before diarization was enabled, or when the initial run produced poor speaker separation.

Re-embedding

Reindex a file's segments for semantic search — or reindex an entire collection at once. Keeps transcripts intact while updating the vector index used for semantic and hybrid search.

Export and sharing

Get transcripts out in the format you need, and share the right content with the right audience.

Five export formats

Optional timestamps and speaker toggles on every format. Export a single file or an entire collection as a ZIP archive.

.SRTSubtitlesStandard HH:MM:SS,mmm format
.TXTPlain textBody text only
.TXTFormattedOptional timestamps + speakers
.DOCXWord docBlock or table, Word bookmarks
.JSONJSONStructured with timestamps

Public share links

Generate a public, read-only link for any collection. Visitors browse and search without an account, and see verification badges and progress on reviewed transcripts. Configure which search modes are available.

Segment share cards

Share individual transcript segments as branded quote cards on X, LinkedIn, Facebook, or WhatsApp — directly from the public share page.

Restricted collections

Mark a collection hidden (non-members cannot see it exists) or visible but locked to members only. Admins can auto-add past contributors when enabling restriction.

Team and organization

Manage access, track usage, and stay informed across your whole organization.

Four roles, clearly defined

Every permission is enforced server-side — not just in the UI.

Member invitations

Invite anyone by email. Existing accounts link automatically; new users land on a welcome page to accept.

Notifications

Eight event types delivered in-app in real time — processing, suggestions, role changes, usage warnings. Each toggleable per user.

Analytics

Verification progress, search activity over time, data volume, and per-member contributions. Admin-only breakdowns.

Multiple organizations

Create and switch between multiple organizations from one account — each with its own members, collections, glossary, and billing.

File sorting

Sort the collection file list by upload date, filename, or recording date — with files that have no date handled predictably.

Live usage meters

Billing and usage meters display directly in the collection navigation, so editors always know where they stand without leaving their workspace.
